Job Description:

We are executing a strategic professional appointment within our core front-office division and are seeking a highly organized, professional Admin/Receptionist to govern visitor relations pipelines and direct front-line administrative workflows in Dubai. Configured for systematic office specialists who possess an advanced operational command of corporate productivity software and excel at maintaining structured records within fast-moving business environments, this full-time track focuses on accelerating front-desk response velocities, auditing supplier documentation files, and maximizing office compliance metrics under our unified corporate management framework.

🔹 Key Responsibilities:

  • Manage daily front office and corporate reception activities, keeping the visitor reception zone perfectly organized and professional.
  • Welcome incoming business clients, verify identification records, and route corporate telephone inquiries to appropriate divisions.
  • Provide high-quality administrative backing and structured back-office support across diverse internal corporate departments.
  • Coordinate efficiently between distinct operational teams to ensure smooth workspace continuity and seamless business operations.
  • Assist with ongoing office procurement loops, tracking supply request sheets and managing vendor communications.
  • Maintain highly accurate records, incoming corporate mail indexes, digital document archives, and office correspondence logs.
  • Support executive management teams with structured appointment scheduling, calendar adjustments, and administrative task lists.
  • Ensure absolute alignment with internal office management policies, guest security protocols, and corporate data handling rules.

🔹 Requirements:

  • Bachelor’s Degree in Business Administration, Human Resources Management, or a directly matching corporate business field from an accredited academic institution is preferred.
  • A minimum of 2 to 5 years of verified, high-performance professional history running a front-office desk, managing executive office suites, or supervising corporate admin channels, with preferred candidate priority given to female applicants who are available for immediate operational joining in Dubai.
  • Advanced digital workspace data literacy with sharp capabilities generating office asset tables, tracking inventory sheets, and formatting text documents inside Microsoft Excel and Microsoft Word.
  • Deep, comprehensive operational knowledge across the following primary functional dimensions:
    • Microsoft Word, Excel, PowerPoint, and Outlook capabilities, document formatting, database records filtering, and schedule mapping.
    • General office administration procedures, reception etiquette rules, multi-line telephone routing, and courier processing logic.
    • Basic understanding of Human Resources processes, employee record archiving, onboarding documentation steps, and corporate hr jobs tracking pipelines.
    • Basic understanding of Information Technology operations, local hardware setups, digital network troubleshooting, and communication links.
    • Basic understanding of Finance and accounting procedures, petty cash verification tracking, expense logging, and basic invoice filing.
    • Records management practices, digital scanning workflows, confidential file storage rules, and corporate audit trail maintenance.
